Email Alerts

The Email Alerts section allows you to manage the automated communication flow of your platform. Its primary function is to define which Order Statuses will trigger an email notification for the Admin, Business Owner, Customer, and Driver.

Configuration by User Level

In the settings panel, you can manage notifications for each user level individually. By clicking on a user category (e.g., Administrator), you can toggle which events trigger an alert for that specific role:

  • Administrator: Best for monitoring new orders (Pending), scheduled orders (PreOrder), and system growth (e.g., New Business Owner Signup).

  • Business Owner: Focuses on order reception, kitchen preparation, and status updates.

  • Customer: Vital for keeping the user informed about order acceptance, shipping, and delivery.


How to Activate an Alert

  1. Select the Role: Click the header of the user level you want to edit (e.g., Administrator).

  2. Enable Statuses: Check the box next to the order status that should trigger an email.

    • Example: Checking Pending under Administrator ensures the admin receives an email every time a new order enters the system.

  3. Registration Alerts: At the bottom of the list, you can also enable alerts for new partnerships, such as New Business Owner Signup or New Driver Owner Signup.

  4. Save Your Changes: Scroll to the bottom of the page and click the Save button. Do not forget this step, as navigating away before saving will cause your changes to be lost.

Efficiency Tip: Avoid "Notification Fatigue." Only enable essential emails for each role to ensure important messages stay prioritized and don't end up in spam.

To help you decide which alerts to activate, here is a breakdown of the most common statuses available in your dashboard:

  • Pending: A new order has been placed and is waiting to be processed.

  • Accepted By Business: The establishment has received and confirmed the order.

  • Preparation Completed: The order is ready for pickup or delivery.

  • PreOrder: Notification for an order scheduled for a future date/time.

🚚 Driver & Logistics

  • Driver Assigned: A delivery person has been linked to the order.

  • Driver Arrived To Business: The driver is physically at the store location.

  • Pick Up Completed By Driver: The driver has successfully collected the order.

  • Driver Is Close / Arrived To Customer: Proximity alerts to ensure the customer is ready.

  • Delivery Completed By Driver: The order has been successfully handed over.

⚠️ Issues & Rejections

  • Rejected / Rejected By Business: The order was declined by the store (e.g., out of stock).

  • Rejected By Driver: The driver was unable to accept or fulfill the task.

  • Delivery Failed By Driver: The driver reached the destination but could not deliver (e.g., customer didn't answer).

  • Order Cancelled By Customer: The user cancelled the order from their own interface.

  • New Business Owner Signup: A new partner has registered a store on your platform.

  • New Driver Owner Signup: A new delivery partner has completed their registration.


Strategy for Visual Clarity

When to activate each one?

  • For the Customer: Enable only trust-building statuses (Accepted, Driver Is Close, Completed).

  • For the Admin: Enable critical action statuses (Pending, Rejected, New Signups) to maintain control without cluttering your inbox.
